Learn how to navigate and optimize your Homebot account.

Your Client Engagement Portal offers a clear view of client intent and engagement, allowing you to reach them ahead of the competition.

We continually track your clients' interactions with the reports and display that information on your Dashboard and in real-time through your Activity Feed.

Continue reading to understand how to navigate and interpret the data provided in your Client Engagement portal, as well as some 🚨Best practices.

This article is divided into sections corresponding to the navigation tabs on the far left side of your account. Click on any of the pink links to navigate to a specific section.

DASHBOARD ✨NEW✨

Your Dashboard provides actionable insights into client behaviors, helping you to inform your outreach strategy and stay top of mind with clients and prospects.


30 Day Performance Snapshot

The first section of your Dashboard is the 30 Day Performance Snapshot, which provides email engagement data, client count, and co-sponsor details.

How to read the 30 Day Performance Snapshot:

Your Clients

  • The large number represents the total number of clients in your account, including both homeowners and buyers.

  • The green or red arrow below your total client count indicates whether the number of clients has increased or decreased.

  • To view the full list of clients, including both homeowners and buyers, click See all in blue underneath your total client count.

  • To add clients from your Dashboard, click Add clients in blue underneath your total client count.

Email Engagement

  • Sends: the number of clients Homebot sent an email to

  • Open rate: the number and percentage of clients who opened the email

  • Click rate: the total number and percentage of clients who clicked the call to action button within the email to view their Homebot report

Sponsored Agents/Lender Co-Sponsor

  • For lenders, this section provides insight into how many agents you're co-sponsoring and the total number of clients between them.

  • Click See all to view all of your co-sponsored agents or click "Invite" to invite someone new. If you have access to Partner Intel, you may explore agents and send an invite from there.

  • For agents, this section provides insight into your lender co-sponsor. You may change lenders at any time by reaching out to customer support.

  • If you do not have a lender or agent co-sponsor, you'll notice a call to action encouraging you to connect with one. For agents, once you add clients to your account, we'll be able to populate lenders who are active on Homebot and open to sponsoring agents. Learn more about that here.

Client Opportunities ✨NEW✨

Below the 30 Day Performance Snapshot, you'll find Client Opportunities. This section enables you to easily identify and prioritize important clients.


Featured Key Client Lists ✨NEW✨

Key Client Lists are curated groups of clients and prospects who we think you should contact or keep an eye on. Your Dashboard features the top 4 lists with the highest client count. Click on Explore all Key Client Lists to view all.

Listing Alerts ✨NEW

Listing Alerts display properties that have been listed by your clients on Homebot, agent co-sponsors, and agents favorited on Partner Intel.

Highly Engaged Clients ✨NEW✨

Highly Engaged Clients features your top 10 clients with the highest amount of activity in their homeowner or buyer report. Click See all for the full list of Highly Engaged Clients.

🚨Best practice: Contact 2-5 people weekly, initiating conversations using Homebot as an ice breaker. You can learn about how to use Homebot as a conversation starter HERE.


Messages ✨NEW✨

Messages include all direct messages that you've received in the previous 30 days.

This section also displays:

  • Messages that a lender is cc'd on from a co-sponsored agent's database. The agent's client will display grey and unclickable in the lender's account.

  • Questions that were sent to the listing agent featured in Home Search on a lender's account only. Agents on Homebot receive all listing inquiries from the client, not the listing agent. More on there HERE.

🚨Best practice: Once you've responded to the client's message via email or by phone, be sure to check the box to the left of their name to remove them from the list.

There is no way to respond to a client's message from within your Homebot account. You'll need to either respond to the email you received from Homebot (it will reach your client) or call by phone.


Take Homebot to the next level ✨NEW✨

Easily explore useful ways to optimize Homebot for you and your clients.

Videos: Embed videos into the reports your clients are receiving using Video Manager. Learn about all of the video features available to you on Homebot HERE.

Power Ups: Explore integrations, the mobile app, and home search options. Learn more about your options HERE.

Help Center: Find answers to your questions by typing keywords in the search bar, such as "adding clients," "video scripts," "edit home value," etc.

Workshops: Join one of our weekly live trainings to get hands-on support and have your questions answered live.


CLIENTS ✨NEW✨

The Clients section provides a deeper view of client engagement and is broken up into three tabs:

  1. Explore✨NEW✨

  2. Activity

  3. Add Clients

🚨Best practice: To view a client's profile, click on their name in blue letters anywhere in your account. More on that below!


Explore tab

First, you'll notice you can search all clients by name, address, or email:

Below the search bar, you'll find all Key Client Lists. Clicking on a Key Client List card will apply the criteria to show only the relevant clients in the list below.

If no Key Client List card is selected, the default mode is to show you everyone, both homeowners and buyers, in your database.

Additionally, you can sort all clients by name, date added, and Likely to sell score:

Click on a client's name here or anywhere in your portal to view their full profile:

Some things to note: 🛎 Needs attention and ✨ Insight tags indicate that one or more Key Client List applies to that client.


Activity tab

The Activity Feed provides a detailed breakdown of client engagement by the minute. It includes all of your highly engaged clients and people who have simply viewed their reports.


When a client takes an action, we'll feature and time stamp it in the Activity Feed and include additional information, if applicable. For example, if a client clicks on a listing, we'll provide a link to view the listing in Home Search.

🚨Best practice: Client activity does not disappear. The history is stored in your Activity Feed, which we encourage you to log in and explore at least once per week.


Add Clients tab

From the Add Clients section, you can add clients one at a time or in bulk.
Adding clients in bulk is the easiest way to get a larger database into your account. You may also choose to add clients manually as they come up.

Client profiles ✨NEW✨

Clicking on a client's name anywhere in your account (in blue letters) will take you to their full profile, which includes:

  • Client type (homeowner, buyer, or both)

  • The date they were added

  • Contact information

  • Key client lists they're tagged in (if applicable)

  • Ability to preview their report

  • Section for notes

In addition to the information above, a client profile is divided into the following sections:

  • Activity (breakdown of their activity by the minute)

  • Homes

  • Buying


From the Homes section, you can:

  • Send the home report (to your client or someone else)

  • Update the home's value (Add a CMA button)

  • Add a co-borrower (+ button)

  • View and edit home details (Edit button)

  • Edit loan data (Edit button)

  • Add a home

From the Buying section, you can:

  • Add a preferred agent (this agent will get property-related questions from the client's search experience)

  • Send buyer report

  • View and update the price point, move date, and favorite markets (Edit button)

  • View, edit, or add a pre-qual

  • Remove all buyer data

CO-SPONSOR

The CO-SPONSOR tab on the far left lets you search and invite a lender or agent partner with on Homebot or view details about who you're already connected to.

SHARE

The SHARE tab provides resources to help you generate leads with Homebot using your unique landing pages and Mobile App custom link.

VIDEO

The VIDEO tab allows you to add a welcome video and embed custom videos into the homeowner and buyer reports. Learn more HERE. Video Email and BombBomb are located in a different section, the ACCOUNT tab. More on that below.

PARTNER INTEL

The PARTNER INTEL tab is a separate product for lenders to search for potential agent partners. Get to know Partner Intel HERE.

ACCOUNT✨NEW✨

The ACCOUNT tab allows you to update your profile and company information, turn on/off digest settings, view/update billing info, change password, log out, and manage Power ups, like Home Search, Video Email, the Mobile App, and integrations like BombBomb and Mortgage Coach.

HELP✨NEW✨

The HELP tab provides direct access to the Help Center to find articles just like the one you're reading now.

🚨Best practice: To ensure Homebot works effectively for you and your clients, we recommend logging into your account at least once weekly to track performance.
