Playbook: Getting Started on Homebot

Join Homebot Community to stay current on product updates, network with other subscribers, and watch short onboarding videos.


Step 1: Set Up Your Account for Success

Before adding a single client, make sure your profile is polished and complete. This information populates throughout every report and email sent to your clients and prospects.

Navigate to: Account tab β†’ Profile section

  • Confirm your Contact info and NMLS ID

  • Add your website URL, LinkedIn (if relevant), and State License(s)

  • Add your LinkedIn (if relevant)

  • Write in your title

  • Add a custom disclaimer if required by your company (it will appear in all modules and email footers)

Add your custom links:

  • Loan application URL β€” drives clients to explore financing options

  • Calendar/scheduling link β€” lets clients book a call with you directly; you'll be notified in your activity feed when someone clicks it

Upload a professional profile photo β€” this appears in every email and report

Brand details (bottom of profile section): Fill these in if you plan to co-sponsor agents. Your brand will appear on reports sent to their clients.

Set a password (Account tab β†’ Password section) and bookmark your dashboard so you can log in easily each week.

Step 2: Customize Your Welcome Emails (Optional)

Navigate to: Account tab β†’ Digest Settings section

The welcome email is the only email you can fully customize. There's one version for homeowners and one for buyers. Update both to reflect your voice and set expectations.

You can also edit the subject line, though the default subject lines are tested for deliverability.

Other digest settings to know:

  • Homeowners receive two emails per month: a Home Digest update and a Market Update email (~2 weeks apart). You can turn off the Market Update if you prefer one email per month.

  • Emails cannot be sent quarterly β€” the cadence is monthly and cannot be changed per individual client.

  • You can toggle emails off entirely for all homeowners or all buyers, but not for a single client.


Step 3: Add a Welcome Video (Optional)

Navigate to: Video tab β†’ Embed Video section β†’ Welcome

A welcome video plays the first time a client opens their Homebot experience. This is separate from the welcome email. It's a powerful way to add a personal touch and remind clients that you are their trusted expert to turn to.

You'll need to:

  1. Record your video outside of Homebot (phone or laptop)

  2. Upload it to a video platform (YouTube, Vimeo, BombBomb, etc.)

  3. Paste the URL, embed code, or ID into Homebot

Video scripts are available in the Help Center β€” click the pink icon at the bottom right corner of your account, click Search for Help and scroll down to the Scripts collection.

You can also embed videos in other sections of the Home Digest, such as the Refi or Prequal module.


Step 4: Connect Integrations & Power-Ups

Step 5: Add Your Clients

You can add clients one at a time or in bulk.

Adding Clients One at a Time

Navigate to Clients tab β†’ Add Clients section β†’ Select One at a Time

Pro tip: Add yourself as a client (using a personal email) to understand the full Homebot experience!

Required fields:

  • First name, last name, email

  • Client type: Homeowner or Buyer

  • For homeowners: street address and zip code (loan data optional but recommended for accuracy)

  • For buyers: current home address and/or pre-qualification data (required to receive home search content)

Clients receive their welcome email within 24 hours. You can also manually trigger the send from their profile.

Adding Clients in Bulk

This is a great way to get a larger database of clients into your account.

Navigate to Clients tab β†’ Add Clients section β†’ Select Bulk Upload

  • Use Homebot's CSV/Excel templates β€” your column headers must match exactly

  • Keep homeowners and buyers in separate spreadsheets (you can upload both at the same time)

  • After upload, the data team scrubs for duplicates and reaches out if anything is missing β€” allow 3–5 business days

  • Once imported, welcome emails roll out over 7 days


Step 6: Introduce Homebot Before They Receive It

Clients engage more when they're expecting the email. Work Homebot into your intake and closing processes.

For new homeowners at closing:

"I've invested in a tool that lets you track your home's value and discover ways to leverage your equity over time. You'll be receiving an email from me shortly with access to that."

For new buyers:

"I'm setting you up with a private, ad-free home search experience that's helps you easily find listings and is tied to real financing data so you can understand what a potential purchase may cost. Keep an eye out for an email from me."

Step 7: Manage Your Database & Use Engagement Data

Your Dashboard

Your dashboard gives you a 30-day snapshot of email performance (sends, opens, clicks) and surfaces key data including:

  • Total clients and agent co-sponsors

  • Listing alerts for clients and co-sponsored agents who list a property

  • Highly engaged clients β€” research shows these clients are 3.6x more likely to close a loan with you

  • Direct messages from clients

Activity Feed

Navigate to: Clients tab β†’ Activity section

See exactly what each client is viewing their Homebot β€” clicking on listings, using the calculators, viewing refinance, cash-out options, and more. Use this as your call list.

Someone looked at an affordability calculator? Call them. Someone opened their digest but didn't click anything? Still a reason to check in.

Key Client Lists

Navigate to: Clients tab β†’ Explore section

Homebot auto-sorts your database into actionable groups:

  • Needs CMA / Needs Pre-Qual β€” clients who have requested information; complete or assign to an agent to remove from the list

  • High Equity β€” great candidates for a cash-out or move-up conversation

  • Email Issues β€” clients not receiving emails

  • Highly Engaged β€” your warmest leads

You can use any key client list as a call list, build an external email campaign around it, or send a targeted video email to that group.

Managing Individual Clients

Navigate to the search bar: Clients tab β†’ Explore section

Click any client's name to:

  • View their home details, loan info, their report, and individual activity

  • Edit their contact information or delete their profile

  • Manually send their Home Digest or Home Search email

  • Add a preferred agent to a client's profile (that agent will be featured on all listings in home search and real estate related modules in the Home Digest)

  • Delete a property and add a new one (note: you cannot edit an address directly β€” you must delete and re-add)

Important: Homebot won't automatically know if a client sells or buys a home. Stay on top of this and update their profiles manually.


Step 8: Co-Sponsor Agents (Optional for Lenders)

Navigate to: Co-Sponsor tab β†’ Invite section

All new Homebot plans include one agent co-sponsor in your subscription. Additional agents are ~$25/month, unless your enterprise receives a discount.

As a lender, when you co-sponsor an agent, you are featured as their trusted lender in the financial sections of every report sent to their clients (Refi, Cash-Out, Pre-Qual). You're notified when their clients ask financially focused questions. You will have completely separate databases.

To invite an agent, send a direct email or share your custom co-sponsor link.

Step 9: Find Agent Partners with Partner Intel (Optional for Lenders)

Navigate to: Partner Intel tab

Use Partner Intel to discover agents in your market you may want to partner with or dig into current relationships.

  • Search agents you know by name or license number, OR

  • Set your location by zip codes and cities

  • Then, filter by transaction count, buy-side percentage, or volume

  • Use the "No Current Co-Sponsor" filter to find agents on Homebot without a lender

  • Favorite an agent (click the heart icon) to receive listing alerts for them β€” a built-in reason to reach out and start a relationship

Step 10: Generate Leads with Landing Pages (Optional)

Navigate to: Share tab

Homebot gives you branded landing pages for homeowners and buyers that are unique to your account. Share these links via:

  • Social media posts

  • Email campaigns

  • Your website or email signature

  • Print marketing materials

When someone fills out the form, they're added directly to your Homebot account and will automatically start receiving the Home Digest or Home Search experience.

For account or billing issues, click the pink icon at the bottom right corner and click Send a direct message to the customer support team.


Weekly Habits for Success

  1. Log in at least once a week and review your activity feed

  2. Call 2–4 clients per week using your key client lists and activity feed as your guide

  3. Check listing alerts and reach out to agents who are active

  4. Monitor your 30-day performance snapshot β€” if click rates drop below 20–30%, consider sending a video email to re-engage your database

  5. Keep client profiles current β€” update addresses when clients buy or sell
