Export Instructions by LOS and CRM Tool

Ready to import your client database into Homebot? Below are step-by-step export instructions for the most common LOS and CRM tools. Find your system, follow the steps, then upload your file using the instructions found in How to Add Clients in Bulk.

Don't see your system listed? Most tools have a Contacts, Pipeline, or Reports section with an Export to CSV or Export to Excel option. Export with as many fields as possible and our importer will walk you through column mapping.


Loan Origination Systems (LOS)

Encompass (ICE Mortgage Technology)

Recommended path: Pipeline → Export to Excel

Your closed and funded loans live in the Pipeline tab. Follow these steps:

  1. In Encompass, open the Pipeline tab.

  2. Change the View dropdown to one that includes borrower fields — at minimum: first name, last name, email, property address, city, state, ZIP, loan amount, interest rate, loan term, and close date. If no existing view has these, click New View to create one.

  3. Set the Loan Folder filter to your closed loans (often labeled "Closed Loans" or "Completed Loans").

  4. Set a date range covering the loans you want to import (3–5 years is typical for a first import).

  5. Click in the pipeline grid, then press Ctrl + A to select all loans.

  6. Right-click → Export to Excel (some versions show Print to Excel or a small Excel icon in the toolbar).

  7. Save the .xlsx file and upload it to Homebot via Bulk Import.

Heads-up before you upload:

  • Split your address into separate columns (Street Address, City, State, ZIP) before uploading. A combined address column is the most common reason records fail to process.

  • If your email column is blank, that's an admin setting in Encompass — your company's Encompass administrator can add the email field to the Reporting Database (Settings → Reporting Database). This isn't something you can fix yourself, but a quick note to your admin usually resolves it quickly.

  • If you're on hosted Encompass (Encompass Anywhere), your export saves to a virtual drive (C$ on 'Client' / V:). Move the file to your local machine before uploading to Homebot.

Alternate path: Contacts tab export

If you actively maintain your Contacts → Borrower Contacts list, you can right-click → Export to CSV. Most users find the Pipeline path returns more complete data.


Arive

Recommended path: Pipeline Report export

Quick steps:

  1. In Arive, click Reports in the top menu → select Pipeline Reports.

  2. Click + New Report (top right). Name the report and choose visibility.

  3. Click + Add Filters to narrow loans if needed.

  4. Click Manage to choose columns — include: borrower first/last name, email, property address, ZIP, loan amount, interest rate, loan term, loan purpose, and closing date.

  5. Click Update, then Add Report to save.

  6. Click Export and save as a .csv.

  7. Upload to Homebot via Bulk Import.

Byte / BytePro

Byte does not have a standard self-serve bulk export available to most users. The fastest path is to contact Byte support and request a client data export (name, email, property address, ZIP, and loan details). Once you receive the file, upload it to Homebot via Bulk Import.

Some companies have an internal Byte administrator who can run reports — check with your team before reaching out to vendor support, as that may be faster.


Calyx Point

Recommended path: Homebot Export Template (.rpt file)

Homebot provides a pre-built Calyx Point report template that maps directly to Homebot's import fields. Full instructions are in the Homebot How-To: Exporting from Calyx Point guide.

  1. Download the Homebot Export Template RPT file from the guide above and save it to your desktop.

  2. Open Calyx Point.

  3. Click File → Open File → select the Homebot Export Template RPT.

  4. Save it as a Point report: File → Save As → name it "Homebot Export."

  5. Run the report against your loan database.

  6. Export the report output to CSV or Excel and upload to Homebot via Bulk Import.


Empower

Empower is used by large lending institutions and does not have a self-serve bulk export option for individual loan officers — data access goes through your company's IT or data team.

Ask your IT or data team for a CSV export of your borrower contacts including: email, property address, ZIP, loan amount, interest rate, loan term, and close date. Once you receive the file, upload it to Homebot via Bulk Import.


LendingPad

Recommended path: Built-in Homebot report

LendingPad has a pre-built report specifically for Homebot — fields come out already aligned to what our importer expects.

  1. From the Dashboard, click Reports.

  2. Search Homebot and click the small blue icon next to the report.

  3. Click Export Report. A blue confirmation box will appear in the bottom right.

  4. Click Back to Reports, then click Export Report Requests.

  5. Once the report is generated, click the blue Download button.

  6. Upload the file to Homebot via Bulk Import.


LenderQB / MeridianLink

LenderQB (now MeridianLink Mortgage) does not have a self-serve bulk export for individual loan officers. Bulk data is managed by your company's admin or IT team.

Ask your LenderQB / MeridianLink administrator to run a custom report with: borrower name, email, property address, ZIP, loan amount, interest rate, loan term, and close date, then export it as a CSV or Excel file. Once you receive the file, upload it to Homebot via Bulk Import.

CRMs

Big Purple Dot

Vendor export instructions: Exporting Leads from Big Purple Dot. If you don't see an export option in your account, contact Big Purple Dot support directly for help.


BNTouch

The most reliable path is to contact BNTouch support and request a CSV export of your borrower contacts (name, email, property address, ZIP, plus loan fields if available). Upload the file to Homebot via Bulk Import.

Follow Up Boss

Recommended path: Direct integration

Follow Up Boss connects directly to Homebot — no file export needed. Set it up here: Follow Up Boss Integration.

Fallback: Manual CSV export

  1. Click People in the main menu.

  2. Apply any filters to narrow your list, then click the checkbox at the top left to select all contacts on the page.

  3. If your list spans multiple pages, click the blue Select all [X] people in this list prompt.

  4. Click the Export icon (box with an arrow).

  5. Check the "Export all columns" box — this is critical. Without it, email and address fields won't be included in the export.

  6. Click Yes, export people. The CSV will download to your browser's Downloads folder.

  7. Upload to Homebot via Bulk Import.

Note: Exporting requires the Can Export permission. If you don't see the Export button, ask your Follow Up Boss account owner to enable it for you under Admin → Teams. Also, FUB sends a notification to the account owner whenever an export runs — just a heads-up.


Jungo

Jungo runs on Salesforce, so exports use Salesforce's Data Export Service. Note: you must be a Primary User or System Administrator to run this export.

  1. Click your name (top right) → Setup.

  2. In Quick Find, type Data Export → click Data Export.

  3. Click Export Now or Schedule Export.

  4. Select the Contact object (plus any Jungo mortgage-specific objects). This creates a more manageable file than exporting everything.

  5. Click Start Export. Salesforce will email you when the file is ready — this can take several hours.

  6. Download the .zip from the email link within 48 hours (files are deleted after that).

  7. Unzip, find the Contacts CSV, and upload it to Homebot via Bulk Import.

Heads-up: If you don't have admin access to the Data Export Service, ask your Jungo administrator to run it for you.

Pipedrive

  1. Open the People list view (or Deals, if you track loans as deals with linked contacts).

  2. Apply a filter to narrow to the contacts you want (e.g., "Won deals" for closed loans).

  3. Click the gear icon to choose which columns to include — add email, address, ZIP, and any loan fields.

  4. Click "..." → Export filter results and choose CSV or Excel.

  5. Upload to Homebot via Bulk Import.

Note: Export is only available to global admins and users with explicit export permissions. If you don't see the export option, ask your Pipedrive admin to enable it. Exported files are available for 28 days.

Shape

Shape supports standard contact exports (Contacts list → Export to CSV). If you're having trouble finding the export option, contact Shape support directly for assistance.


Surefire

Surefire does not have a self-serve bulk export for individual loan officers — exports go through your company's Surefire administrator or marketing ops team.

Reach out to your administrator and ask for a CSV export of your contacts with: borrower email, property address, and loan details. Once you receive the file, upload it to Homebot via Bulk Import.


Total Expert

Direct integration available for enterprise customers: Total Expert Integration — direct API sync, no CSV needed.

Manual CSV export:

  1. In the left nav, go to Leads & Contacts → Contacts.

  2. Filter and save your contact list (exports respect saved filters).

  3. Click Export CSV on the right side of the page.

  4. Choose With current applied filters or With no applied filters as needed.

  5. Click Export CSV — the file will download to your desktop.

  6. Upload to Homebot via Bulk Import.

Note: If you don't see the Export CSV button, this permission is controlled by your company's marketing or admin team — they can grant access or run the export for you.


Usherpa

Direct integration available: Usherpa Integration — we recommend starting here rather than a manual export.


Velocify (ICE Mortgage Technology)

For lists over 100 leads — Custom Reports path:

  1. Open the Custom Reports section in Velocify LeadManager.

  2. Click Create New Report (top left).

  3. Set Base Data to Leads. Name the report.

  4. Select columns: first name, last name, email, property address, ZIP, and any loan fields you track.

  5. Add filters to narrow to the right leads (e.g., status = closed/funded).

  6. Click Save & Run.

  7. Click Export to Excel — this produces a CSV file despite the button label.

  8. Upload to Homebot via Bulk Import.

For 100 or fewer leads — Normal View export:

  1. Go to View Leads (Normal View).

  2. Check the boxes next to the leads you want to export.

  3. Click the Lead Control Arrow at the top of the Selection Column.

  4. Click Export Leads — a CSV downloads automatically.

Note: If Custom Reports isn't visible in your account, contact Velocify support to have it enabled.


General-Purpose CRMs

DOMO

DOMO is a business intelligence tool, so what's available in an export depends on how your company's data team has set it up. Find the dataset that contains your closed-loan borrower data and export it to CSV. If you're not sure which dataset to use, your company's data or BI team can point you in the right direction.

HubSpot

  1. In HubSpot, go to CRM → Contacts.

  2. Apply any filters to narrow to the right contacts.

  3. Click Export (top right of the contact list).

  4. Choose CSV or XLSX.

  5. Select All properties for the most complete export.

  6. Click Export. HubSpot will email you a download link — this may take a few minutes for large lists.

  7. Upload to Homebot via Bulk Import.

Note: Export requires specific permissions in HubSpot. If you don't see the Export button, ask your HubSpot admin to grant export access.


Salesforce

Recommended path: Report → Export

  1. Build or open a Contacts or Leads report with the fields you need: name, email, address, ZIP, and any loan fields.

  2. From the report view, click the dropdown next to Edit (top right) → Export.

  3. Choose Details Only (not Formatted Report) — this is the format that works for importing into other systems.

  4. Choose CSV or Excel and download.

  5. Upload to Homebot via Bulk Import.
