Load Clients Into Homebot From ARIVE Using Zapier

This article walks you through how to connect ARIVE LOS to Homebot using Zapier. Once set up, every funded loan will automatically sync to your Homebot account. Follow the step-by-step instructions to get started.

Part 1: Setting Up Your Zapier Account

Choosing the Right Zapier Plan

  • The free Zapier plan will not work for this integration — it only supports single-step Zaps, and this workflow requires at least three steps

  • The Professional plan (paid) is the recommended starting point

  • Each time a client is pushed into Homebot counts as one "task" — for most loan officers closing 4–10 loans per month, the Professional plan's 750 tasks per month is more than sufficient


Part 2: Connecting ARIVE to Zapier

Activating the ARIVE Zapier Integration

ARIVE's Zapier integration requires an invite link before it will appear in Zapier's app search.

  1. Log into your ARIVE account

  2. Navigate to API Integration settings

  3. Click Integrate with Zapier and then Copy Zapier Link

  4. Paste that link into your browser and accept the invite

  5. Return to Zapier — ARIVE will now appear in the app search


Part 3: Building the Zap

Step 1 — Set the Trigger (ARIVE: Loan Status Updated)

  1. From the Zapier homepage, click the orange + Create button and select Zap

  2. Click the Trigger step and search for ARIVE

  3. Select Loan Status Updated as the Trigger Event

  4. Under Account, connect your ARIVE account by signing in

  5. Click Continue, then click Test Trigger

    • This pulls your most recent loan status changes (up to 3–4 records) to confirm the connection is working

IMPORTANT NOTE: If none of the test records show a funded loan, that is okay — you will add a filter in the next step to handle this


Step 2 — Add a Filter (Only Continue if Funded)

  1. Click + below the Trigger step and search for Filter

  2. Select Filter by Zapier

  3. Configure the filter as follows:

    • Only continue if…

    • Field: Current Loan Status

    • Condition: Text Exactly Matches

    • Value: LOAN_FUNDED

  4. Click Continue

IMPORTANT NOTE: If the test record you selected is not a funded loan, the filter will say "Your Zap would not have continued." This is expected and means the filter is working correctly.


Step 3 — Find or Create the Client in Homebot

  1. Click "+" below the Filter step and search for Homebot

  2. Select Find Client by Email as the Action Event

  3. Connect your Homebot account and click Continue

  4. For the Client Email field, click "+" and select the Primary Loan Borrower Email field from your ARIVE trigger data

  5. Leave "Should this step be considered a success if no search results are found?" set to No

  6. Check the box: "Create Homebot Client if it doesn't exist yet?"

  7. Set "Set as Prospect" to False — these are funded homeowners who should receive the monthly Homebot home report

  8. Fill in the following required and recommended fields by mapping them to your ARIVE data. See table below.

  9. Click Continue

    1. The test may show as filtered out or incomplete — this is expected if no funded loan record is available. You can proceed.

IMPORTANT NOTES:

  • Date of birth is optional and currently has limited use in Homebot. You can skip it or add it later.

  • If a husband and wife are both on the loan, you can add both clients separately using their individual email addresses — Homebot will automatically recognize them as co-borrowers as long as the same property address is attached.

  • You can always return and add more fields after publishing.

  • If the test step does run successfully, it will create a real client in your Homebot account. This is expected behavior — it is not just a test record.


Step 4 — Create the Home in Homebot

  1. Click + below the Find Client by Email step

  2. Search for Homebot and select Create Home as the Action Event

  3. Click Continue

  4. For the Client ID field:

    • Click + inside the field

    • Navigate to the Homebot — Find Client by Email step

    • Select ID of the Created Client

  5. Map the following address fields from your ARIVE data. See table below.

  6. Click Continue

IMPORTANT NOTES:

  • You do not need to test this step if no funded loan records are available. If the Zap is configured correctly, it will work as soon as a real funded loan comes through.

  • Adding a Sold Date is strongly recommended. Without it, Homebot may pull an older sold date from public records (e.g., a previous purchase of the same home).


Testing Your Zap End-to-End (Optional but Recommended)

If you want to verify the full Zap before going live:

  1. Temporarily delete the Filter step (it can be re-added easily)

  2. Create a dummy client in ARIVE with:

    • A real email address (e.g. a personal or test email)

    • A valid phone number with a real area code — NOTE: invalid phone numbers will cause the client creation step to fail

    • A real or placeholder property address

  3. Return to Zapier, go to the Trigger step, and click "Find New Records" — your dummy loan should appear

  4. Click "Continue with Selected Record"

  5. Retest the Find Client by Email step — the client should appear in Homebot

  6. Test the Create Home step — the home should now be attached to the client 🎉

  7. Once confirmed, re-add the Filter step (see Step 2 above) with the loan_funded condition

  8. Go to the Create Home step, click the Test tab, and click "Publish"

🥳Your Zap is now live! Every loan that reaches funded status in ARIVE will automatically push the client and their home into Homebot.

IMPORTANT NOTE: After testing, be sure to delete the dummy client and home from your Homebot account.


Troubleshooting

If you receive a "Failed to create home in Homebot" error, the home may already exist for that client in Homebot.
