How to add clients in bulk

Uploading your clients in bulk is the easiest way to add a large database to your account. This article provides step-by-step instructions and resources to help you complete this crucial first step.

Step-by-Step Instructions

Step 1: Prepare your spreadsheet(s) and note the following requirements:

  • Your spreadsheet must be a .csv or Excel file. No PDFs or images.

  • Review the data requirements HERE for a successful import.

  • Your column headers must match those in our templates HERE. Files with incorrect or altered headers will not be accepted.

  • Please use the same template format for homeowners and buyers.

  • Keep buyers and homeowners on separate spreadsheets.

Step 2: From your DASHBOARD, click on the Add clients button under your total client count and stay on the Add clients in bulk option.


Step 3: Review the required fields for a data import to ensure you have included all necessary information.

Step 4: Below that, click Choose file or drag and drop your spreadsheet(s) into the file uploader. Let us know if your spreadsheet contains homeowners or buyers. You cannot choose both. As mentioned above, you must keep your homeowners and buyers on separate spreadsheets, and use the same format in THESE templates.

Step 5: Lastly, check the box to confirm your spreadsheet includes only your clients, prospects, and contacts. Then click Upload.

Once you click Upload, you'll see a success message from our data team. Someone will scrub for duplicates, and reach out if anything is missing.


Data requirements for a successful import

FOR HOMEOWNERS

Required Column Fields

  • First name

  • Last name

  • Email address

  • Property address (do not include city/state)

  • Zip code (do not include zip in the property address column)

  • NMLS ID (if applicable and must match the NMLS ID in your Homebot account)

Property address

Don’t have loan data? No problem! We’ll pull it from public records.

If you have loan data available, we’ll combine the required information listed below with public records to ensure the most accurate data is populated.

Required fields if including loan data

  • Total Loan Amount

  • Interest Rate

  • Loan Term (# of Months)

  • Loan Purpose (Refi, Purchase, Etc)

  • Closing Date

  • Loan number (highly encouraged but not required)


FOR BUYERS

Required Column Fields

  • First name

  • Last name

  • Email address

  • Current home info*

  • Prequal data*

*If your buyer is currently renting and hasn’t been prequalified, you’ll need to include the following info in order for them to access the Home Search experience:

  • Subject property address

  • Subject property zip code

*If your buyer has been prequalified, you must include their current home information mentioned above and/or the following prequal info:

  • Prequal max loan amount

  • Prequal downpayment

  • Prequal max home price

  • Prequal application date


Downloadable template

The template below is also available in your account under the "Add Clients in Bulk" section. Use this template for both homeowners and buyers—just be sure to keep them on separate spreadsheets and upload them as a .CSV or Excel file.


The template includes a basic dictionary along with the recommended and required fields outlined above.
