These updates apply to loan officers on individual plans. Features and client capacity may vary for those on an enterprise plan.
This article will walk you through a few new powerful updates you should know about and how we automagically optimize your database. Yes, auto-magic-ally! Let’s dive in.
Here's what's new:
Increased client capacity
Big news! Loan officers can now add up to 3x buyers, at no additional cost.
If your plan includes 500 total clients, that means 500 homeowners plus 1,500 buyers.
You’ll find more billing details at the end of this article.
Why add buyers?
To give them a private, nationwide home search experience, complete with best-in-class financial calculators, curated listing galleries, and you (and their preferred agent) just a click away.
And for your tech-savvy buyers? Don’t forget to mention the Homebot Mobile App, so they can take their home search on the go!

Database optimization
As you add clients, we'll swap out homeowners who are no longer engaging with Homebot or have email issues.
How the magic works: We’ll automatically check your Email Issues Key Client List for any unengaged homeowners.
If we find one, we’ll do a one-to-one swap, replacing the unengaged homeowner with the new one.
The swapped-out client will be moved to your buyer count
Your billing and capacity stay the same
You make room for more engaged clients
If no unengaged homeowners are found:
Your homeowner count will increase
If this pushes you over your plan limit, your bill will increase
You’re always in control. You can manually downgrade a homeowner to a buyer at any time to stay within your plan and manage costs.

Buyers can opt into the Home Digest experience in a few ways:
From the revamped Home Search email for buyers
Directly through Home Search, on every listing and the For You page
This might come in handy when:
Your buyer purchases a home and can add their property address for Home Digest content and insights.
You have a large database of past clients you don’t want to pay for just yet, you can still engage them without using up your billable homeowner slots.
Refreshed Home Search Email for Buyers
We've completely revamped the welcome experience for buyers.
Now, it’s a vibrant and exciting introduction to Homebot designed to engage and convert. With just a few clicks from the new Home Search email, buyers can add their home address to opt-in and unlock instant access to powerful homeowner insights.

Once they opt-in, they’ll receive a highly personalized Home Digest in addition to the Home Search experience they’re already enjoying, making this a seamless, value-packed upgrade.
When a buyer self-upgrades to a homeowner, you’ll be notified by email regarding your new homeowner count.
IMPORTANT: We want to make sure you’re only paying for engaged clients so we built in some automation to help. Enter: the magic of Database Optimization.
Here’s how it works in this case:
When a buyer self-upgrades to a homeowner, we’ll automatically swap out an unengaged homeowner, if one is available. Here’s what happens:
The unengaged homeowner will be converted to a buyer, count toward your buyer total, and will no longer receive Homebot content.
This ensures your total number of billable homeowners stays within your plan limit.
What If No One's Available to Swap?
If there are no unengaged homeowners available to swap, and the self-upgrade causes you to exceed your homeowner limit:
You’ll receive an email notification with the option to manually downgrade another client from homeowner to buyer.
If no action is taken, the new homeowner will be added and your bill will adjust accordingly.
Homeownership Verification
When you add a buyer with a home address, we’ll let you know whether they rent or own.
Why? This information directly informs how, when, and what kind of mortgage conversation to have. Consider the following:
Tailored Messaging: You can send relevant, engaging content based on their status.
More Efficient Prospecting: You won't waste time pushing refinance offers to renters or pre-approval emails to homeowners not planning to sell.
Smarter Database Management: Segmenting your list by ownership helps you prioritize outreach and convert more effectively.
If they own:
Refinance Opportunity: They might benefit from a rate-term refinance, cash-out refinance, or a HELOC.
Move-up Buyer: Many homeowners are also future buyers. Knowing this allows loan officers to introduce options for upgrading or relocating.
Equity Leverage: Help them understand how to tap into home equity to consolidate debt, invest, or fund big expenses.
If they rent:
First-Time Buyer Strategy: This changes the script. Now it's about education, affordability, credit, and saving for a down payment.
Lead Nurture Opportunity: Renters often need more time and guidance. Knowing they rent lets you create tailored drip campaigns (outside of Homebot) and financial tools to move them toward readiness.
Qualification Pathway: You can start by understanding what’s holding them back—income, credit, debt—and support them proactively.
How homeownership verification works: We check public records to find out if the buyer's name matches public records and then populate that information on the client’s profile.
If we do find that they’re the property owner, they can still be in the system but not receive the Home Digest Experience, thus you won’t be charged.
Adding Buyers
When adding a buyer, you must include either:
Their current home address and zip code, or
Pre-qualification data that’s less than 12 months old.
If they don’t own a home, you can enter their rental address instead.
Without this information:
They won’t receive any Homebot content
They’ll appear in your Incomplete Key Client List
You’ll see a notification on their profile prompting you to update their info
You won’t be charged for the property information if they aren’t receiving the Home Digest Experience, which can be turned on/off from their profile at anytime.

Managing Homeowners and Buyers
You can manage each client’s experience directly from their profile, turning Home Search or the Home Digest on or off at any time.
Homeowners have access to both the Home Digest and Home Search experiences.
Buyers can use Home Search and have the option to upgrade to the Homeowner experience with one click.
Each client is labeled as either a Homeowner or a Buyer, not both.
You can easily view and filter your database by client type under the Clients tab.
How these updates will be reflected on your bill
We charge for homeowners by email address, while your buyer total is 3x your homeowner capacity. For example, if your plan includes 500 total homeowners, you can add 1500 buyers at no additional cost.
Keep in mind:
Co-borrowers with a different email will count as a separate billable client.
Plan usage is updated nightly. Check back the following day after adding new clients to verify your total client count.
You can track the number of homeowners and buyers in your account from your Dashboard and the Billing Info section under the Account tab.
